Legal documents
Terms and conditions of sale and legal notice attached to your invoices and estimates, as text or as a PDF.
The Legal Documents section holds the text of your terms and conditions of sale and your legal notice. The terms and conditions are added as the last page of your invoices and estimates; the legal notice is shown on your website and your documents. You can write them directly or, on the web, upload a PDF.
What you will do
- Write your terms and conditions of sale.
- Write your legal notice.
- Upload the official PDF version if you prefer.
Write the texts
- Open Settings, Legal Documents section.
- In Terms & Conditions, paste or type your full terms and conditions: payment terms, penalties, competent court.
- In Legal Notice, enter the mandatory information about the company.
- Each area saves on its own less than a second after you stop typing.
| Field | Required | Used for |
|---|---|---|
| Terms & Conditions | No | Added as the last page of the invoices and estimates sent |
| Legal Notice | No | Shown on your public website and your documents |
Under each area, a help text indicates whether a PDF is also attached: « Un fichier PDF de CGV est également joint (géré sur le web) » (a T&C PDF file is also attached, managed on the web).
For a Belgian company, state the payment term, the late-payment interest and the fixed compensation provided for by the Act of 2 August 2002 on combating late payment in commercial transactions. The app reminds you of this under the text area.
Upload a PDF
On web.novadesko.com, the terms and conditions are managed in one of two modes: PDF File (import a PDF document) or Built-in Editor (write your terms in A4 portrait format with a toolbar for bold, italic, lists, alignment). In both cases, the content is attached to the documents sent.
- In the app, click « Ouvrir sur le web » (open on the web) in the « Fichiers PDF » (PDF files) banner. The web Legal Documents section opens.
- In the Terms & Conditions (T&C) block, click Upload PDF Document, then drop your file or click to browse.
- The message "Upload successful." confirms. Download current file lets you check the version online; the Updated on date is shown.
Uploading terms and conditions or a legal notice as a PDF is done only from the web. The desktop and mobile app shows the text and flags the presence of a PDF, without letting you replace it.
Other documents on the web
The web Legal Documents section also holds company documents uploaded as PDF, DOC or DOCX (10 MB maximum): Kbis Extract, Insurance Certificate (professional liability and comprehensive cover, with expiry date), Company RIB and Privacy Policy. Finally, it gathers the legal exports: Client Listing and National and Intra-Community VAT Declarations in PDF, XML or intracom format. The exact layout of these blocks could not be verified for this version of the documentation.
