Products and services

The product list, the form in simplified or full mode, import, and using products in document lines.

The catalogue holds your products and your services. A product carries a name, a price excluding VAT and a tax: in an invoice or a quote, choosing it fills in the line without retyping. The catalogue is optional, a document line can always be entered freely, but it guarantees consistent prices and VAT rates.

What you will do

  • Browse and filter the product list.
  • Create a product in simplified mode, then complete it in full mode.
  • Use a product in a document line.

The product list

The product list
  1. Three views carry a counter: Catalogue, Imported products and All.
  2. The search field filters the list as you type.
  3. Filters opens status, category, price and sorting.
  4. Each row shows the code, category, prices and VAT rate of the product.
  5. The switch activates or deactivates the product directly in the row.
  6. Add a product opens the New product form.

Three views at the top of the list carry a counter: Catalog (active products), « Produits importés » (imported products) and All. The Search a product... field filters as you type; Filters opens Status, Category (with each category's colour and icon), Price (range incl. VAT) and Sort by (name, price or code).

Column Content
Product Image or empty thumbnail, then the name.
Code Product code assigned automatically (10000001).
Category Category badge.
Price excl. VAT Selling price excluding VAT.
VAT Rate applied.
Price incl. VAT Calculated from the price excl. VAT and the rate.
Stock Quantity in stock, only with the Inventory add-on. See Stock management.
Status Active / Inactive switch, editable directly in the row.

The toolbar contains Import, Export, Multiple selection, Categories and Add product. The row menu offers Edit, Duplicate, Enable or Deactivate, Delete. Multiple selection offers Select active, Select inactive, Select stockable, then the Enable, Deactivate, Duplicate and Delete actions.

Create a product

  1. Click Add product. The New product form opens in simplified mode.
  2. Fill in the Name, the Selling price (excl. VAT) and the Tax; the price incl. VAT is shown under the price.
  3. Choose a Category if you have created any, and add an Image if you wish.
  4. Click Save. The message "Product successfully created." confirms.
Creating a product in simplified mode
  1. Enter the name as it will be printed on documents.
  2. Enter the sale price excluding VAT.
  3. Choose the tax of the product, here 21%.
  4. The price including VAT is calculated below the fields.
  5. Click Save.
  6. The confirmation message appears and the product joins the catalogue.

The « Mode complet » (full mode) link reveals the Additional information section; « Mode simplifié » (simplified mode) folds it away without losing what you typed.

The full mode of the form
  1. The button at the top switches between simplified and full mode.
  2. The additional information section appears below the essential fields.
  3. The purchase price excluding VAT is used to calculate the margin automatically.
  4. An active product stays available in documents.
Field Use
Image JPG, PNG or WebP, 2 MB at most.
Name Mandatory. Label printed on documents.
Selling price (excl. VAT) Mandatory. The price incl. VAT is calculated with the chosen tax.
Tax Mandatory. The product's VAT rate, for example 21%; the list comes from your configured rates.
Category A category or subcategory of the catalogue, or None.
Stock « Gérer le stock de ce produit » (manage stock for this product), then Stock Quantity and Alert threshold. Without the add-on, the field reads "Stock management available from the Pro plan".
« Référence (SKU) » (reference, SKU) Your internal reference (REF-001).
Barcode EAN or UPC.
Purchase price excl. VAT Enables the Margin and profit calculation, displayed automatically.
« Unité » (unit) Piece, hour, kg...
Weight (kg) Unit weight.
Description Text shown on documents under the product name.
« Produit actif » (active product) An inactive product is no longer offered in documents.
« Visible en ligne » (visible online) Shown on the shop or public catalogue, if you have one.
Note

In the apps, the image upload may fail after saving; the product is then created without an image and a message says so. Add the image from web.novadesko.com.

Import and export

Import offers Import a file (on the web), « Télécharger le modèle CSV » (download CSV template) and « Télécharger le modèle Excel » (download Excel template). The recognised columns are id (update if present), name or nom (mandatory), reference or ref, category or categorie (category name), sale_price or prix_vente (excl. VAT), buy_price or prix_achat (excl. VAT), tax or tva (rate or tax name) and stock or stock_quantity. Export produces a CSV with the code, name, reference, category, prices, tax, stock, barcode and status, for the whole list or for the selection.

Use a product in a document

In an invoice, quote or order line, start typing the product's name or code and choose it from the list: the label, description, price excl. VAT and tax are taken over, the quantity remains to be entered. You can change the price on the line without touching the catalogue. See Create an invoice.

Tip

Create your recurring services as products with the unit "hour" or "day": invoicing then comes down to choosing the product and the quantity.
