Answers to the most common questions about Novadesko, grouped by theme: account and subscription, invoices and VAT, Peppol, bank, apps, data and security.
This page gathers the questions that come up most often. Each answer is short and points to the page that covers the subject in detail. If you cannot find yours, use the documentation search (/ key) or open a support ticket.
Account and subscription: creating your workspace, trying, paying and changing plan.
Can I try Novadesko before paying?
Yes, in two ways. When you create your workspace, you get 14 days free; after the trial, your data remains accessible and a payment is required for the paid modules. You can also open demo mode, a pre-filled demo account with guided tours, whose fictional data is cleaned up automatically. See Choose a plan and Demo mode.
How much does Novadesko cost and where do I change plan?
Prices start at €19 excl. VAT per month; the full price list is at novadesko.com/tarifs. In the app, the user menu's Plans entry shows your plan, your Novadesko invoices and the plan cards; payment goes through Stripe. A module not included stays visible in the sidebar with a padlock, and Subscribe now activates it pro rata for the month. See Choose a plan.
What happens if my payment fails?
A red Payment issue banner appears above the content with the Settle payment button. You have a grace period; once it has passed, the paid modules are disabled until the payment is settled. See If a payment fails.
Can I manage several companies with a single account?
Yes. A user can manage several companies and switches between them from the menu at the bottom of the sidebar, which also offers « Nouvelle entreprise » (new company). If you sign up with an e-mail that is already known, Nova offers Log in so you can add a company to your existing account. See Introducing Novadesko and Create your account.
Invoices and VAT: creating, correcting, chasing and exporting your documents.
Can I edit or delete an invoice that has already been sent?
No. An invoice that is paid, sent via Peppol or included in a VAT return is locked; it is corrected with a credit note, generated from the invoice's Options menu. The law also requires numbering without gaps: only the last invoice in the series can be deleted, and it goes to the recycle bin. See Credit notes and Recycle bin.
How do I invoice a VAT-registered customer in another EU country?
In the customer record, the VIES check automatically ticks « Client intracommunautaire » (intra-Community customer) when the prefix designates another EU country. On the invoice, in « Avancé » (advanced) mode, choose the « TVA intracommunautaire » (intra-Community VAT) scheme and the Legal article: the lines switch to 0 % and the legal wording is printed on the PDF. How do I chase an unpaid invoice?
As soon as the due date has passed, the invoice carries the Overdue badge. The Options menu offers Send reminder at three levels: « Rappel courtois » (friendly reminder), « Rappel ferme » (firm reminder), Formal notice, by e-mail and, with an SMS integration, by SMS. Automatic reminders are set in Settings > Documents. See Payment reminders.
How do I pass my documents on to my accountant?
Link your accounting firm in Settings > Accounting: they view your sales, purchases, reports and bank documents from their own workspace. Each document row then carries a Send to accountant icon. You can also produce a ZIP archive of the PDFs and XML files for a period with Export by period. See Accounting and accounting firm and Export documents.
Can I import my purchase invoices without retyping them?
Yes, with Novadesko Intelligence: the Scanner button accepts PDFs, images, UBL XML and Excel files of up to 20 MB, reads the supplier, dates, lines and VAT, then waits for your check before creating the document. Duplicates are spotted as soon as the file is uploaded. See Import documents in 3 steps and Duplicates.
Peppol: mandatory e-invoicing between Belgian businesses.
Am I required to use Peppol?
Since 1 January 2026, e-invoicing via Peppol has been mandatory between VAT-registered Belgian businesses; a PDF sent by e-mail does not count as an electronic invoice. Private individuals and customers outside the European Union continue to receive your invoices by e-mail. See What is Peppol?.
How do I activate Peppol and how long does it take?
From Settings > Peppol, click « Demander un identifiant » (request an identifier): Novadesko creates your account with the B2Brouter access point and publishes your identifier in the directory. If the number is free, activation is automatic and you receive a notification and an e-mail. A valid intra-Community VAT number is essential, and a default bank account is required to send. My accountant has already registered me on Peppol. Can I switch to Novadesko?
Yes. A company number can only be registered with a single access point: send the request anyway, it stays Pending, then ask your current provider to release the identifier. Changing access point can take up to 24 hours. See Already registered elsewhere.
What happens to invoices received on Peppol?
They arrive in the Peppol Inbox, Received tab, in real time. Import creates the purchase with the supplier matched by VAT number and the XML as an attachment; automatic import, every hour, is switched on in Settings > Peppol within the quota of your plan. Bank and transactions: linking an account and justifying movements.
How do I connect my bank and what does Novadesko see?
From Bank Sync, « Connecter une banque » (connect a bank) opens a PSD2 consent journey on your bank's website; your credentials never pass through Novadesko and access is read-only. The consent lasts 180 days at most, then is renewed in one click. Bank synchronisation requires a Pro or Ultimate plan. See Connect your bank.
Can I import a CODA file myself?
No, manual import of a CODA file is not offered in the app. A CODA file is produced from the synchronisation and shared with your accountant, who can drop their CODA statements into their NovaFisko tool. See What about the CODA file?.
Why does an invoice paid by bank transfer appear twice in the transactions?
Because a manual payment was recorded in addition to the synchronised bank movement. With a connected bank, link the invoice to the movement from Bank Sync instead, with the Justify button: the document is marked as paid and there is only one row. Apps: web, desktop and mobile.
On which devices can I use Novadesko?
In the browser (web.novadesko.com, new version at app.novadesko.com), as a desktop app for macOS (Apple Silicon and Intel) and Linux (x64 and ARM64), and as a mobile app for iOS and Android. All of them connect to the same data. Windows is announced as "coming soon": use the web version in the meantime. See macOS, Linux, web and mobile apps.
Why do some settings show "Editable on the web"?
The desktop and mobile app covers the essentials, but some sections (CBE record, Wallet, Place, Point of Sale, SMTP server, Warehouses, Nova VCard, Sidebar) and some actions (enabling 2FA, generating a credit note, exporting the XML) are done on web.novadesko.com. The « Ouvrir sur le web » (open on the web) button takes you straight there. See Company settings.
Data and security: protecting your account and recovering your data.
How do I enable two-factor authentication?
In User profile, Security section, Two-Factor Authentication card: activation (scanning the QR code) is done on the web, via « Ouvrir sur le web » (open on the web); entering the code at sign-in works everywhere. Keep your recovery codes outside the application. See Account security and Login and two-factor authentication.
How do I recover my data if I leave Novadesko?
Export your documents by period as a ZIP (PDF and XML) and your transactions as CSV or as a PDF statement by e-mail. Do this before any account deletion, which is immediate and irreversible. See Export documents and Export transactions.
