Company information

Trade name, legal name, legal form, VAT number, VAT regime and business sector: the General Information section and the CBE record.

The General Information section carries the legal identity used on your documents, your exports and your Peppol identifier. It is the first section of the settings and the one that opens by default. For a Belgian company, the « Fiche BCE » (CBE record) completes it with the public data of the Crossroads Bank for Enterprises.

The company settings, General information section
  1. Click General information to open the section.
  2. Edit a field, for example the trade name.
  3. Enter the VAT number of the company.
  4. The auto-fill button completes the details from the VAT number.
  5. The indicator confirms that all changes are saved.

What you will do

  • Enter the name shown on your documents and the legal name.
  • Enter the VAT number and let VIES complete the address.
  • Choose the VAT regime, the legal form and the business sector.
  • Check the CBE record if your company is Belgian.

Fill in the section

  1. Open Settings, General Information section.
  2. Enter the Trade Name. This is the name shown on your documents; it is required.
  3. Enter the VAT Number in the format BE0123456789, then click Auto-fill from VAT.
  4. In the Confirm changes window, VIES suggests the company name, the address, the postcode and the city. Untick what you do not want to take over, then click Apply selection. Each applied field saves immediately.
  5. Choose the VAT regime: « Franchisé (TVA non applicable) » (VAT-exempt small business) or « Réel (TVA applicable) » (standard regime, VAT applicable).
  6. Complete the Legal Form, the Business Sector and the Enterprise Counter.

Warning

Once Peppol is active, the VAT number can no longer be changed: the message "VAT number cannot be modified because Peppol is active." is shown. Check it before requesting your identifier. See Activate Peppol.

Note

If VIES does not recognise the number, the message "VAT number not recognised by VIES." is shown and nothing is changed. If all the data is already identical, you read "Nothing to change." In the French interface, the Short Description label is misspelt « Déscirption Courte »; it is indeed the short description.

CBE record

The « Fiche BCE » section only appears when the country is Belgium and a VAT number has been entered. It is read only: the information comes from the CBE and is synchronised automatically.

The « Consulter la BCE » (view at the CBE) button opens your company's public record on the website of the Crossroads Bank for Enterprises.

Warning

In the app, the CBE record shows the Read only banner: « La mise à jour manuelle se fait sur le web » (manual updates are done on the web). To correct a piece of data that does not synchronise, go through web.novadesko.com.

French companies

Note

For a company established in France, the web app offers extra fields that are absent from the desktop app: SIRET Number, APE Code, Registry city (RCS), Late-payment penalties (% per year), Early-payment discount (mandatory mention, "néant" if no discount), Nature of operations (default) and VAT on receipts. These mentions are printed on invoices. Set them on web.novadesko.com.
