Stripe online payment and manual payments
The invoices and payments synchronised from Stripe, the manual payment methods, and the payment information printed on your invoices.
Novadesko distinguishes two families of payments: those you enter by hand (bank transfer, cash, Bancontact…) and those that arrive through the Stripe synchronisation. This page describes what Stripe adds to your lists, the manual payment methods, and what your invoices must carry to be paid without errors.
Stripe invoices
When the Stripe integration is active, the invoices settled through Stripe are synchronised into Invoices:
- a Stripe badge is shown under the document number;
- All, Stripe and Manual tabs appear above the list, with the number of documents from each source;
- in Transactions, Stripe payments carry their own source and the Stripe fees are kept apart from the amounts collected, with the bank payout "Stripe fees deducted". See Transaction sources.
A payment synchronised from the Stripe API cannot be deleted ("row cannot be deleted"). If Stripe is not connected, the corresponding action replies "Stripe integration is not configured for your shop."
Stripe, like the other payment providers, is activated on web.novadesko.com. The app shows the synchronised invoices and transactions, but not these settings.
Stripe duplicates
When a Stripe invoice looks like a document already present, it is held for review and the Duplicates tab appears. The Options menu of the document then opens a « Doublon Stripe » (Stripe duplicate) section:
| Entry | Confirmation | Result |
|---|---|---|
| « Approuver (garder) » (approve, keep) | "Both documents will be kept." | Both remain |
| « Fusionner avec existant » (merge with existing) | "This document will be merged with the existing document." | A single document remains |
| « Rejeter (supprimer) » (reject, delete) | "This document will be deleted." | The Stripe copy is deleted |
The message "Duplicate processed" confirms. Duplicate detection on scanned purchases follows a different logic, described in OCR duplicates.
Online payment
web.novadesko.com has an online payment page for your customers ("Pay remaining balance", "Secure SSL payment", Pay now), and the PDF can carry a payment button ("Pay via Mollie", "Pay with Bancontact") depending on the integrations enabled. Integrations are managed in the Integrations section of web.novadesko.com ("Payment tracking and online payment").
Manual payment methods
The payment window offers the methods active in your company, each with its icon:
| Method | Use |
|---|---|
| Cash | Till, handed over in person |
| Bank transfer | On web.novadesko.com, then choose the Bank account credited; the Default account is preselected |
| Bancontact, Card payment | Terminal or payment link; the card is chosen on web.novadesko.com |
| PayPal, Payconiq, Mollie, Stripe | Payments received through these services, entered by hand when they are not synchronised |
The exact labels are those of your configuration. Entering the payment itself is described in Payments and collection.
Payment information on the invoice
The PDF of an invoice includes a Payment information block: bank, IBAN, BIC, amount To pay, due date and Structured Communication (SEPA communication) to quote when making the transfer.
This data comes from your default bank account. Until it is set, a Missing bank account banner is shown at the top of the pages: "Connect your bank account so that your invoices are compliant (IBAN, BIC) and to enable payments and Peppol." Click « Connecter un compte bancaire » (connect a bank account) or add the IBAN in Bank accounts.
- The invoice PDF carries the details needed to pay.
- The amount to pay block shows the amount, the due date and the structured communication.
- When the customer has paid, click Checkout.
- The payment window opens.
- The payment method states how the customer paid.
- The reference keeps track of the transfer communication.
- Close the window to return to the invoice.
With Settings > Documents > Display QR Code, a SEPA payment QR code (EPC format, compatible with Belgian banking apps) is printed on the invoice: the customer scans it and the transfer fills itself in, communication included.
The structured communication also serves bank reconciliation: with automatic reconciliation, Novadesko "automatically links a bank transaction to the document when the amount and the structured communication (or the reference) match with certainty". See Justify bank transactions.
Pay a supplier
On the page of an unpaid purchase whose supplier has a valid IBAN, web.novadesko.com shows the Scan to pay this supplier card: an EPC QR code with the beneficiary, the IBAN, the BIC, the communication and the remaining amount. The Mark as paid (transfer) button opens "Confirm transfer", then Confirm & choose account records the payment as a transfer with the amount pre-filled.
This card is only available on web.novadesko.com. In the app, record the supplier payment from « Encaisser » (collect payment) on the purchase page.
