Vehicles

The company fleet: vehicle sheet, brand and model, default vehicle, inactive vehicles.

The Vehicles page lists the company vehicles used for the travel log and mileage allowances. It is reached from the Vehicles menu entry or the Vehicles button at the top of the travel log. Each vehicle has a brand, a model, a plate, a type, a fuel and, if you wish, its CO₂ emissions.

  1. Three indicators: the number of vehicles, the default vehicle and the electric or hybrid vehicles.
  2. The fleet lists each vehicle with its plate, type, fuel and emissions.
  3. Click the button that adds a vehicle.

What you will do

  • Add a vehicle by choosing its brand from the directory.
  • Designate the default vehicle.
  • Deactivate or delete a vehicle.

Add a vehicle

  1. Click Add a vehicle.
  2. Choose the Brand: the list is a directory with logo and country, and a search field.
  3. Choose the « Modèle » (model) among those of the brand. If it is not listed, pick « Autre modèle… » (other model) and type it (for example "A3 Sportback").
  4. Enter the « Plaque d'immatriculation » (registration plate), in the format "1-ABC-123". It is stored in capitals.
  5. Choose the Type and the « Carburant » (fuel).
  6. If needed, complete Year, Color, « Émissions CO₂ » (CO₂ emissions) and « Date de commande » (order date).
  7. Switch on « Véhicule par défaut » (default vehicle) if this is your main vehicle.
  8. Click Save. The message « Véhicule ajouté » (vehicle added) confirms.
The Add a vehicle window
  1. Click the button that adds a vehicle.
  2. The vehicle window opens.
  3. Start with the brand, then the model.
  4. Enter the number plate.
  5. The default vehicle is used for the kilometre rate of the log.
  6. Save to add the vehicle to the fleet.
Choosing the brand in the directory
  1. The vehicle window opens.
  2. Start with the brand, then the model.
  3. A search field filters the brand directory.
  4. The models load as soon as the brand is chosen.
Field Required Values
Brand Yes Brand directory (search by name).
Model Yes Models of the brand or free entry via « Autre modèle… ».
Registration plate Yes Letters, digits, hyphens and spaces.
Type Yes Personal, Business (default), Mixed.
Fuel Yes Petrol, Diesel (default), Electric, Hybrid, LPG, CNG, Other.
Year No Between 1900 and the current year.
Colour No Free text.
CO₂ emissions No 0 to 500 g/km. « Influence la déductibilité fiscale » (affects tax deductibility).
Order date No At creation only.
Default vehicle No Only one default vehicle at a time.
Active vehicle No Visible only when editing.
Tip

The first vehicle you create is offered as the default vehicle. For the following ones, the switch is off by default.

The default vehicle

The default vehicle is flagged by the Default badge in the list and by the Default card at the top of the page. To change it, click the Default button on another vehicle's line: the message « … est maintenant le véhicule par défaut » (… is now the default vehicle) confirms. You can also switch on « Véhicule par défaut » in the vehicle sheet.

Note

In the current version, the add-trip window does not let you choose a vehicle. The default vehicle serves as the reference vehicle of the travel log; the cost of trips depends on the company's mileage rate (see Mileage allowances).

Several vehicles

You can record as many vehicles as you need. The Vehicles card counts the total and the active vehicles; the « Électriques / hybrides » (electric / hybrid) card counts those whose fuel is Electric or Hybrid.

Column Content
Vehicle Brand logo, brand and model, year and colour, Default and Inactive badges.
Registration The plate.
Type Personal, Business or Mixed.
Fuel Icon and label.
CO₂ Emissions in g/km, or a dash.
Actions Default (if not already the case), Edit, Delete.
The Vehicles page without any vehicle
  1. As long as no vehicle exists, the page shows this message.
  2. No default vehicle is set yet.
  3. Click the button that adds a vehicle.

Deactivate or delete

  • Deactivate: open the vehicle with Edit and switch off « Véhicule actif » (active vehicle). « Un véhicule inactif reste visible mais ne peut plus être sélectionné » (an inactive vehicle stays visible but can no longer be selected). The line appears greyed out with the Inactive badge.
  • Delete: click the bin and confirm « Supprimer ce véhicule ? » (delete this vehicle?). Trips already recorded are kept.
