Kilometre calculation

How the distance of a trip is calculated from your company address, the monthly and yearly chart, the totals and the linked documents.

The distance of a trip is not a rough guess. As soon as you choose a customer or a supplier, Novadesko calculates the route between your company address and the address on the contact's sheet, then offers you the one-way or round-trip distance. The kilometres then feed the indicators, the Trip evolution chart and the estimated cost.

What you will do

  • Let Novadesko calculate the distance, or enter it.
  • Read the chart by day, by month or by year.
  • Understand the four indicators and the linked documents.

Automatic calculation

  1. In the Add a trip window, choose a Type and then a contact.
  2. The text "Computing route…" appears under Distance (km).
  3. The result is displayed in a box "Route computed from the company address" with the destination address and two chips: One way · 64.2 km and Round trip · 128.4 km (example).
  4. If the field is empty or at 0, the round trip is filled in automatically. Click One way for a single leg.
  5. Recalculate runs the calculation again, for example after correcting the contact's address.

You can always replace the suggested value with the actual distance from your odometer. Decimals are accepted, with a comma or a point.

Message displayed Meaning What to do
Route computed from the company address Calculation succeeded. Choose One way or Round trip.
(estimation approximative) (rough estimate) The map provider only gave an approximation. Check the distance before saving.
« Adresse manquante sur la fiche : distance à saisir » (address missing on the sheet: enter the distance) The contact has no complete address. Complete the customer or supplier sheet, or enter the km.
« Renseignez l'adresse de votre entreprise pour calculer les trajets » (enter your company address to calculate routes) The company address is empty. Complete your contact details in the settings.
« Calcul indisponible pour le moment » (calculation unavailable for now) The calculation service is not responding. Click Try again or enter the km.
Tip

Select a contact before filling in the distance: « Sélectionnez un contact pour calculer la distance depuis votre entreprise. » (select a contact to calculate the distance from your company). Without a contact, no calculation is started.

Note

The travel log only contains business trips. There is no private / business toggle on a trip: it is the vehicle that carries a Personal, Business or Mixed type. There is no odometer reading either: you record the distance of each trip.

The indicators

Four cards summarise the period displayed.

Card Calculation
Total kilometers Sum of the trips and the linked documents, "km this year" or "km over the period" depending on the filter.
Trips this month Number of trips in the current month; underneath, the monthly average (total divided by the number of months with trips).
Estimated cost Total kilometres x mileage rate. The rate is recalled under the title.
Linked documents Kilometres carried by invoices and estimates whose trip is counted in the log.

The chart

The Trip evolution card combines a Distance (km) line (left axis) and « Coût (€) » (cost) bars (right axis). Three buttons change the scale:

  • This month: one point per day of the current month.
  • Month: one point per month ("Jul", "Aug", "Sep"…).
  • Year: one point per year.

Hover over a point to read the date, the distance and the cost. With no trip in the period, the card shows « Aucune donnée » (no data).

The chart in monthly view
  1. The chart shows how your trips evolve, by month or by year.
  2. The monthly view shows one group of bars per month of the year.
  3. With no trip in the period, the chart says so instead of showing bars.
The chart in yearly view
  1. The yearly view compares the years with each other.
  2. With no trip in the period, the chart says so instead of showing bars.
  3. The estimated cost multiplies the kilometres of the period by the kilometre rate.

The linked documents

Under the trip list, the Linked documents card lists the invoices and estimates whose trip is counted in the travel log, with their distance and their cost. The total in kilometres appears in the card badge and is added to Total kilometers. Click the number to open the document.

  1. This indicator counts the documents whose trip is recorded in the log.
  2. The list holds every trip, with the search box and the filters above it.
  3. The contact filter narrows the list to one customer or supplier.
